What this feature does
Automated Service Reminders are included with Pro. They are intended for long-horizon follow-up after a completed recurring service, such as a setup. FretTrack stores the future due date and checks the queue nightly; it does not rely on the email provider to hold a message for months.
This is separate from ordinary work-order email and Scheduled Email. Enabling the shop rule never enrolls customers automatically. Each customer must separately agree to automated service reminder emails.
1. Record customer consent
- Open Customers and select the customer.
- Choose Edit Profile.
- Confirm the email address is correct.
- Select Customer consents to automated service reminder emails only after the customer agrees.
- Save the customer.
Removing the email address or clearing the consent box cancels that customer's unsent reminders when the record is saved. Recent opt-ins and opt-outs appear in the shop's consent history.
2. Configure the shop rule
- Open Shop Settings and find Automated Service Reminders.
- Leave Automatic sending off while reviewing the setup.
- Choose the number of months after service.
- Enter one eligible service keyword per line, such as setup or annual service.
- Add an optional booking URL.
- Review the customer-style email preview. Open Edit subject and message only if the copy needs changing.
- Turn on Automatic sending and choose Save Reminder Settings.
What creates a scheduled reminder
A reminder enters the queue only when all of these are true:
- The shop currently has Pro access and Automatic sending is enabled.
- The work order is linked to an active customer with a saved email address.
- The customer separately opted in to automated service reminder emails.
- The work order is marked Completed or Picked Up.
- A billed service description contains one of the shop's configured keywords. Matching is not case-sensitive.
The due date is the recorded completion date plus the configured number of calendar months. If the customer returns for a newer matching service, FretTrack cancels the older unsent reminder instead of sending stale follow-up.
Use Reminder Operations
Open Shop Settings → Automated Service Reminders → Reminder Operations. The summary shows whether sending is enabled, consent coverage among active customers with email, and exact queue counts. The queue does not display customer email addresses.
| Status | Meaning | What staff should do |
| Scheduled | The reminder is eligible and waiting for its due date. | No action is required. |
| Sending | The nightly worker has claimed the reminder for delivery. | Wait for the current send attempt to finish. |
| Retrying | A send attempt failed and FretTrack retained it for another attempt. | Read the displayed reason. Correct customer or shop data when applicable, then use Recheck Eligibility. |
| Sent | The provider accepted the reminder and FretTrack finalized the delivery. | Review Message History on the work order when delivery details are needed. |
| Canceled | The reminder became ineligible, usually because of consent, customer status, source work, rule state, or a newer matching service. | Read the reason and correct the underlying record only when it is actually wrong. |
| Skipped | An owner or admin intentionally stopped this individual reminder and recorded a reason. | Use Restore Eligibility only when the shop wants it reconsidered. |
Recheck eligibility
Owners and admins can choose Recheck Eligibility after correcting a customer, work order, service description, or reminder setting. FretTrack reviews the shop's work orders against the current rule. It does not bypass consent and does not revive a reminder that staff deliberately skipped.
Skip or restore one reminder
For a Scheduled or Retrying reminder, choose Skip This Reminder, enter the reason, and confirm. The skip survives later rule saves and queue rebuilds. Choose Restore Eligibility to remove the staff skip and run the normal checks again. Restore does not force delivery when the customer or work order is no longer eligible.
If no reminder appears
- Confirm the shop is on Pro and Automatic sending is enabled.
- Confirm the customer is active, has an email address, and has separately opted in.
- Confirm the work order is linked to that customer and is Completed or Picked Up.
- Compare the billed service description with the configured eligible service keywords.
- Choose Save Reminder Settings, then Recheck Eligibility.
- Check the History filter for a cancellation or staff-skip reason.
How customers stop automated reminders
Every automated service reminder includes a secure Stop automated service reminders from this shop link. Opening it displays a privacy-safe confirmation page; it does not change consent merely because an email scanner or preview opened the link. The customer chooses Stop Automated Reminders to confirm.
FretTrack then turns off that customer's automated service-reminder consent, cancels every unsent reminder for the customer, and adds a customer-link entry to the consent audit history. Reopening or submitting the same link is harmless. The page displays no customer, shop, instrument, or work-order details. Transactional work-order messages, estimates, invoices, and replies are separate and are not disabled by this preference.
If the customer later asks to receive automated reminders again, staff must obtain their permission and deliberately select the consent box on the customer profile. FretTrack never restores consent automatically.
Safety boundaries
- Owners and admins can configure, recheck, skip, and restore. Other shop members can inspect the monitor but cannot change it.
- The database rechecks current Pro access, rule state, customer status, email, consent, completed work, and newer service history immediately before delivery.
- Retries keep the same delivery identity so an uncertain provider response does not create a new reminder operation.
- Reminder sends count toward the shop's existing email-recipient allowance and appear in Message History.
- Every reminder includes a private, opaque customer unsubscribe link. The confirmation action is replay-safe, records the withdrawal source, and immediately cancels unsent reminders.
